AI bookkeeping in Canada: what it costs and what it still misses

The question: “Can AI do my bookkeeping now, and what does it cost in Canada?”

Short answer: AI now does most of the typing, not most of the deciding. The core accounting software runs about CA$20 to CA$80 a month at the regular price for the plans small businesses use, and receipt capture is usually bundled in. The CRA rules have not changed, so you still keep everything for six years and you still answer for what ends up in the books.

The software reads your paperwork for you

The pitch is the same across every big tool. You photograph a receipt or forward a bill by email, the software reads the supplier, the date and the total, and then lines it up against the matching line on your bank feed. Wave describes its own version as digitally capturing unlimited receipts and tracking expenses 1.

Xero does not do the capture itself. It bundles Hubdoc, which fetches bills and statements and pulls the data off them, at no extra charge on its paid plans 2.

Not every tool reads as much as you upload, though, so check the scan limit before you commit. Zoho Books gives free and trial users 50 scans a month, 200 a month on Standard and Professional, and 1,000 a month on Premium and above 3. A trade business with a daily fuel receipt and a parts bill will notice the difference between those numbers.

Still, this is the real change of the last few years, and it is worth having. The data entry is largely gone. What is left is the part that was always harder: deciding which account a cost belongs to, whether the tax was charged properly, and whether the number in front of you is even right.

What it costs in Canadian dollars

Zoho Books publishes real Canadian prices. Standard is C$20 a month per organization, Professional is C$35 and Premium is C$50, and the page states prices are exclusive of local taxes 4. Standard covers 3 users and Professional covers 5. There is also a free plan at C$0 that stays free as long as your revenue for the financial year does not exceed C$50K, which covers plenty of new and part time businesses.

Xero's Canadian plans are CA$25, CA$60 and CA$80 a month, and the page states that prices are in Canadian dollars and exclude applicable taxes 5. Starter is cheap for a reason: it sends 20 invoices and enters 5 bills a month, which many trades will blow through in a week. New customers get 80% off for the first 3 months, and that is a promotion, not the price you will be paying in month four.

Wave still has a free tier at $0 and a Pro plan at CA$25 a month 1. On the free tier the receipts add-on is listed at $11 a month. On Pro the page shows it included.

Monthly billing at the regular price, not the discount Xero shows new customers first 5. Zoho Books states its prices are exclusive of local taxes 4 and Xero states prices are in Canadian dollars and exclude applicable taxes 5. Wave lists Pro in Canadian dollars 1. Each plan allows a different number of invoices, bills, scans and users, so the shortest bar is not automatically the best deal. The capture add-ons in the next section are priced in US dollars and sit on top of these.

Add-on capture tools charge you by the document

If your pile of paper is bigger than your accounting software handles comfortably, the dedicated capture tools take over that job. Dext's business plan is US$25.21 a month for 250 documents and 5 users, and the page states the price is in US dollars and excludes tax 6.

Read the meter before you read the price. Dext says that once you reach the monthly document limit you can still upload, but nothing gets read until your next bill date or you upgrade 6. A busy month on a small plan leaves you with a pile of unprocessed paperwork, which is the exact problem you were paying to remove.

Tools sold as an AI bookkeeper rather than AI data entry cost more. Booke's business plan starts at $129 a month per business and lists daily bank feed categorization, smart document matching and exception review with an audit trail 7. Its pricing page never names a currency, so ask which dollars before you subscribe.

The CRA still wants six years of records

None of this software changes your record keeping duties. The CRA says to keep your records for six years from the end of the last tax year they relate to, unless it gives you permission to destroy them earlier 8. That clock runs on the receipt images inside the app, not just on the ledger.

There is a second rule that catches cloud users. Records kept outside Canada and reached electronically from Canada are not considered records in Canada 9. The CRA may accept a copy made available here in a readable and useable format, and the Minister can authorize keeping records elsewhere in writing, but that is permission, not the default. Ask your vendor where the data physically sits, and keep your own export somewhere you control.

And do not shred the paper just because you scanned it. The CRA's electronic records circular says imaged paper source documents may be disposed of, and the images kept, when the imaging follows the latest national standard 10. A phone photo sitting in an app you might cancel next year is not that.

A photo of a receipt is not always enough to claim the tax back

If you are registered for GST or HST, the receipt has to carry specific information before the credit is yours. For a purchase of $30 or more but less than $150, the CRA's memorandum requires the supplier's GST/HST registration number on the supporting document, on top of the basics required for smaller amounts 11.

Capture software reads what is printed on the paper. It cannot add a registration number the supplier left off, and it will not usually stop you from claiming anyway. That is the kind of quiet error that surfaces years later in a review, when the image is the only evidence you still have.

So spot-check. Open a handful of last month's captured expenses and look at the image itself, not the tidy summary line. Check the supplier name, the tax amount and the registration number. If the number is missing on the kind of purchase you make every week, fix it with that supplier now.

A person still has to make the calls

Categorizing is a judgment, not a lookup. Was the truck repair maintenance or an improvement you have to capitalize? Is the laptop all business, or split with the household? Is that deposit revenue, a customer loan, or the owner putting money back in? The software guesses from the description and from what you did last time, which means it will repeat your past mistakes confidently and at speed.

Month end and year end are also still human work. Reconciling to the actual bank statement, chasing the bill nobody entered, splitting owner draws from wages, getting the sales tax return right. Even the dedicated AI tools advertise missing document requests and exception review, which is an honest admission that something always needs a person to answer it 7.

Treat the AI as a very fast, very literal clerk. It never gets bored and it never gets tired, and it also never asks why a number looks wrong. You or your bookkeeper is still the reviewer.

What to do about it this month

If you are still typing receipts by hand, start with the capture you already pay for. Wave includes it with its Pro plan 1 and Xero includes Hubdoc on its paid plans 2. Testing that against your own shoebox costs you nothing extra.

Then measure one month. Count how many transactions the software coded correctly without you touching them. If that is most of them, add a capture plan and spend your time reviewing instead of typing. If it is not, the problem is usually your chart of accounts or a broken bank feed, and no amount of AI fixes either one.

For almost every small business reading this, a ready-made tool plus a bookkeeper who reviews the month is the right answer, and the honest advice is to stop there. Custom work only earns its keep when the bookkeeping has to read from a system nobody sells off the shelf, such as your own job costing, dispatch or field records.

If you are about to switch tools or add another subscription, we will look at your current setup on a free call and tell you plainly what we would keep.
